Your role in a nutshell:

As a Receptionist/Office Administrator at Tech One Global Philippines, you will be the first point of contact for visitors and callers while supporting office operations. You will ensure smooth day-to-day administrative functions, fostering a welcoming and efficient workplace environment.

What You Will Do: 

  • Front Desk & Visitor Management: Warmly greet visitors, answer phone calls, and handle general inquiries with a friendly, professional demeanor. 
  • Office Operations & Upkeep: Maintain office supplies, manage inventory, and ensure the office remains well-stocked and tidy. 
  • Travel & Expat Coordination: Support travel arrangements, including flight bookings, accommodations, and visa applications, particularly for expats. 
  • Meeting & Event Coordination: Schedule and manage meeting room bookings, organize internal events, and support team gatherings. 
  • Purchasing & Vendor Liaison: Handle office purchases, liaise with vendors and service providers, and manage relationships with building management to resolve any office-related issues. 
  • Administrative Support: Assist with document preparation, filing, data entry, and other administrative tasks as needed. 
  • HR & Onboarding Support: Collaborate with HR to assist in onboarding new hires and organizing staff events, fostering a positive employee experience. 
  • Mail & Courier Management: Manage incoming and outgoing mail, deliveries, and courier services to ensure timely distribution. 
  • Office Environment: Ensure that the reception area, meeting rooms, and overall office space are consistently well-maintained and presentable. 

What We Look For: 

  • Experience & Education: Bachelor’s degree in Office Administration or a related field, or equivalent experience in an administrative or receptionist role. 
  • Exceptional Interpersonal Skills: A true “people person” with excellent communication abilities to engage with colleagues and visitors alike. 
  • Highly Organized & Detail-Oriented: Proven ability to handle multiple tasks with a keen eye for detail and accuracy. 
  • Proactive & Self-Driven: Ability to work independently while being a collaborative team player. 
  • Tech Savvy: Proficiency in MS Office (Word, Excel, Outlook) with a knack for learning new tools and systems quickly. 
  • Customer Service Focused: A professional demeanor with a genuine commitment to providing top-notch service. 
  • Travel & Logistics Experience: Prior experience handling travel arrangements, especially for expats, is a plus. 
  • Problem Solver: Resourceful in managing office-related issues and finding solutions promptly.
